Indoor vs Outdoor Custom Banners: Choosing the Right Material
A brief lands in the inbox and it reads: one banner, 4 m × 1 m, for the front of the shop. Size, quantity, purpose. Everything a supplier needs to quote — and almost nothing a supplier needs to build the right thing.
The two facts that decide the material, the finishing and the print route are missing. Where it hangs, and what holds it up. A 4 m × 1 m panel tied to a fence beside a coastal car park and the same panel hanging on a rail inside a shopping centre are different products made from different materials, finished differently, printed by different routes. The size is identical. Nothing else is.
This guide is the set of questions that belong in that brief, answered in the order a factory actually works through them: environment first, then finishing, then material, then print route.
The question that decides everything: what is behind the banner
Start with the surface, not the artwork. The mounting surface decides the finishing, the finishing narrows the material, and the material decides the print route. Buyers who start from the material — “we want vinyl” — often end up with a solid sheet on a scaffold where a perforated panel belonged, or a stiff panel where a soft drape was needed.

Read down the “what to watch for” column and a pattern appears: nearly every failure mode is a mounting problem that was not in the brief.
The three materials we print banners on
In our factory, banners are printed on PVC vinyl, mesh and fabric. These are not three price tiers of the same object. They are three physically different things.
Vinyl is a solid sheet. It takes ink on its surface, it holds a flat plane, and it has a face and a back. Air moving against it has nowhere to go, so the panel absorbs the force and passes it to whatever is holding the edges.
Mesh is a perforated sheet. It is still a printed panel, but a substantial part of its surface is open, so moving air passes through rather than pushing the whole face. It is a screen as much as a sign.
Fabric is a textile. It is soft, it drapes, it does not reflect light back at the viewer the way a coated sheet does, and it is printed by dye-sublimation so the image sits in the material rather than on top of it.
The three respond differently to being rolled, folded and stored, and they respond differently to the first strong gust. More on the individual products: custom banners, plus the wider custom flags range where the display is pole-mounted rather than fixed to a wall.
PVC vinyl: the general-purpose outdoor sheet
A solid PVC panel is the default when a banner has to sit outdoors, face the weather and stay legible. It is the material for storefront banners, grand-opening graphics, campaign panels on walls and railings, and the printed face of a trade-show booth where the back is never seen.
Gloss and matte are not cosmetic upgrades — they change how the panel behaves in light. A gloss face returns more light, which can make colours read strongly at a distance but can also produce a bright reflection where a light source or the sun lines up with the viewer. A matte face scatters light instead, which usually reads better on a wall that catches direct sun or under interior lighting, and it photographs more predictably. For artwork that is mostly photographic, matte tends to hold shadow detail more evenly; for artwork built from flat, saturated colour, gloss often looks more emphatic.
Vinyl is the natural choice where the banner is seen from one side only, because a solid sheet is opaque and the reverse is not part of the design. If the back will be visible — a hanging panel in a hall, a double-sided pavement sign — that is a specification decision to make before printing, not after.
Where vinyl is the wrong answer: a large panel in a high-wind position. A big solid sheet behaves like a sail, and the load it transfers to grommets, ties, fence posts and frames grows with the area of the panel. On exposed fencing, scaffold and open building faces, a solid sheet is asking the mounting structure to do work it was never designed to do.
Mesh: the material that lets the wind through
The reason mesh exists is structural, not decorative. A perforated panel presents far less resistance to moving air than a solid one, so the force transferred to the fixing points, the ties, the fence posts and the frame is reduced. The banner still catches wind — it simply does not catch all of it.
That single property explains where mesh belongs: fences and site hoardings, scaffold wraps and construction graphics, sports perimeter and field fencing, and large-format building faces where the panel area is substantial. It is also why mesh is chosen for temporary structures, where the mounting frame is light and not intended to resist a heavy load.
The trade-off is close-range appearance. The perforation is visible up close, so very fine detail and dense small text lose crispness against the open weave. Mesh is at its best seen from a distance — across a pitch, along a fence line, from the far side of a road — rather than read at arm’s length. If a design depends on a small line of legal text or a fine logo, that detail is better placed on a solid panel, or the mesh panel is better positioned where nobody will stand next to it.
For related outdoor display formats, the same wind logic applies to advertising flags, which use flexible poles so the graphic can move with the air rather than resist it.
Fabric: the presentation material
Fabric is the material for indoor displays, and what it brings is presentation quality. A textile drapes. It falls into a soft, even surface rather than holding a stiff plane, which is why it is used for backdrops, step-and-repeat panels, booth walls, hall and stage graphics, and interior retail displays where a hard reflective sheet would look like temporary signage.
Fabric banners are dye-sublimation territory. That is the print route that carries gradients and photographic artwork without a visible printed layer sitting on the surface — the image reads as part of the material. It also means the surface is non-reflective, so photographs and skin tones hold up under stage lighting and interior spotlights where a gloss sheet would flare.
The straightforward rule: fabric is an indoor choice. An outdoor setting should be specified in vinyl or mesh. If a banner will move between the two — an indoor launch followed by an outdoor promotion — that has to be in the brief, because the material decision cannot be made twice.

What each finishing option actually holds
Finishing is the part of the quote that decides whether the banner survives its first week. It is not an accessory list.
Hemming folds and stitches the edge of the panel so the banner is not held by a raw cut line. An unhemmed edge can tear from a fixing point outwards; a hem gives the edge a folded, reinforced body.
Grommets are metal fixing points set at intervals along the reinforced edge. Their purpose is distribution: load is spread along the edge rather than concentrated at a corner. Grommet spacing is a decision, not a default — closer intervals suit more exposed positions.
Pole pockets are sewn sleeves along the top or bottom edge that take a pole or rail. The banner hangs without any perforation in the artwork, which is why pole pockets are the usual answer for stage graphics, hall banners and any panel where nothing should interrupt the print.
Hem tape is a reinforcing strip along an edge that will be under tension or repeatedly handled. It is what you specify when a banner will be taken down, folded, stored and rehung across a season rather than installed once.
Banner stands hold the banner taut without fixing anything into a wall. They are the answer for glazed shop fronts, rented premises and any position where drilling is not permitted.
Corners and the top edge are where banners fail first. A corner grommet carries the highest concentration of load, and the top edge carries the panel’s weight plus whatever the wind adds.
Matching the mounting surface to the finishing
- Solid wall: grommets and ties, or hem tape where the banner will be handled repeatedly.
- Fence or hoarding: grommets at close intervals, with the material matched to wind exposure.
- Scaffold or open frame: pole pockets, so nothing punctures the print.
- Glazed window or shop front: a banner stand or pocket system that avoids drilling.
- Indoor hall or stage: pole pocket top and bottom on fabric for a clean drape.
- Portable display: a banner stand plus a material that rolls without creasing.
Size, and why a banner is not a poster scaled up
Banners can be produced in virtually any size with large-format printing, and sizes are custom rather than fixed. That flexibility has consequences worth planning for.
Artwork is composed for the finished proportion, not enlarged from a smaller layout. A design built at A3 and stretched to 4 m will have its spacing, margins and type relationships distorted.
Viewing distance sets the smallest element that can be read. A design that works on a desk will not work across a car park. The further the viewer stands, the fewer elements the banner can carry — which usually means fewer words, larger type, and one message rather than three.
Finishing has to keep pace with panel area. A large panel carries more load than a small one, so grommet intervals, hem reinforcement and material choice all scale with the size of the job.
Rolled delivery, creasing and reuse
Banners are packed rolled. In practice, that shapes how a banner is stored between campaigns: keep it rolled rather than folded, on a tube if possible, in a dry place away from direct heat.
Fabric is more forgiving of folding than a stiff sheet, but a rolled banner is still the safer default for any material, because a fold line in a solid panel becomes a visible crease that no amount of hanging will fully remove.
Reuse is worth planning at the specification stage. Mounting hardware and a banner’s fixing points can carry a new print in a later campaign — so grommet spacing, pole pocket width and finished size are worth recording, because they let a replacement panel drop straight into the same frame next season.
The nine lines that belong in every banner brief
- What the banner is for, and the single message it carries.
- Finished width and height.
- Indoor or outdoor, and how exposed the position is.
- The mounting surface, and what may be fixed into it.
- Single or double sided, and whether the back will be seen.
- Material preference, or the environment the supplier should specify for.
- Finishing required.
- Artwork status and format.
- Deadline and event date.
If a brief answers those nine lines, most of the specification decisions are already made.
Checking a banner before the full run
At the proof stage, work through the same list every time:
- Colour against the approved file, viewed in the light the banner will actually be seen in.
- Legibility of the smallest text at the intended viewing distance.
- Whether the design clears the hem and grommet line — finishing takes a strip of the panel, and artwork that runs to the edge will lose it.
- Whether the pole pocket width matches the pole or rail it will take.
- Whether the fixing intervals suit the mounting surface.
- The material sample by hand — the difference between a solid sheet, a perforated sheet and a textile is easier to feel than to describe.
