How Hotels Choose and Design Custom Hotel Key Cards

A key card order rarely fails because of the artwork. It fails because the property ordered a card its doors cannot read. That single mismatch — a card that looks perfect and does nothing at the lock — is the most expensive mistake in this product family, and it almost always traces back to one missing item: a photo of the issuing machine.

This guide covers what a hotel, resort, B&B or serviced apartment can actually order, how to work backwards from the lock system already installed on the doors, what belongs on the card face, and what to expect from the design handover — including the two tolerances that surprise first-time buyers most.

The four things a property can order

Most properties assume there is one product here. There are four, and they do different jobs.

Hotel key cards. These open the room. The card carries a built-in chip and must be encrypted to match the lock system before it can be issued. Most official cards for common hotel lock brands can be produced. The full range sits on our custom hotel key cards page.

Power-switch cards. These are inserted into the in-room power switch to activate the electricity supply. A power-switch card cannot open a door. It is a separate card with a separate job, and confusing the two at the front desk produces a guest complaint within minutes.

Key-card stickers. Printed stickers applied to the face of an existing card. A property holding a working stock of plain cards can change what guests see without reordering the cards themselves. Stickers come in coated paper or PVC, 85.5 × 54 mm, described as water- and dirt-resistant, with double-sided design and a frosted grain.

Proximity versus magnetic-stripe cards. Proximity (induction) cards are described as safer and more convenient, and they are not affected by magnetic fields. Magnetic-stripe cards are described as cheaper, but they can be demagnetised near strong magnetic fields — which is why a card left beside a phone or a magnet in a guest’s bag can stop working.

Within the key-card group, the types we produce are IC cards, ID cards, blank cards, M1 cards, CPU cards, universal colour cards, power-switch cards and key-card stickers.

The card is not the only printed object a guest handles in the room, but it is the one they hold longest and most often — at the door, again at the power switch, again on the way out. The other item almost every guest picks up is the dispenser. Properties that treat the card and the custom tissue boxes as one printed set get a consistent in-room impression out of two projects instead of five, and both surfaces can be proofed at the same time.

Selection logic: start from the lock system, not the card

The card is not chosen from a catalogue. It is matched to the lock hardware already on the doors.

Before anything is ordered, the property must provide front and back photos of its card issuing machine (the card reader) so the model can be identified and the cards encrypted to match. Without those issuing machine photos, the lock system cannot be matched and cards will not be produced. This is not a formality. It is the step that decides whether the order works at all.

What the photos let the factory determine:

  • which chip family the lock expects
  • whether the property needs a high-frequency or low-frequency card
  • whether the lock reads by contact or contactless proximity
  • whether existing cards can be recreated or must be replaced outright

If a property is furnishing a new building and has not yet chosen locks, the decision runs in the opposite direction: settle the lock family first, then confirm the card. Choosing cards first and locks second is how mismatches get built into a project permanently.

Confirming the chip family

The reliable confirmation path is the issuing machine photo. Lock documentation is a useful secondary reference, but model numbers on paper and the reader actually bolted to the door do not always agree — particularly in properties that have been refitted in stages, or where two wings were built years apart.

Two related details are worth settling at the same time.

First, the chip’s internal code is random. The printed card number and the code read by the lock are not the same by default. If a property needs them to match — for auditing, for a room-move workflow, or for any system that ties a physical card to a record — that has to be arranged in advance, not assumed.

Second, available chip families beyond the standard IC and M1 types include Fudan M1 cards, external 4442 chip cards, CPU cards and epoxy (domed) cards. A property that only needs room access usually has a narrower choice than a property that also runs spa, gym, locker or membership cards on the same card stock.

IC/M1 and ID cards share the same encapsulation — PVC, PET and 0.13 mm copper wire — rewrite endurance of over 100,000 cycles, and data retention of over 10 years.

The power-switch card deserves a second look in any new build. It is a dual-chip composite that works with high-frequency and low-frequency insert-and-switch power switches and with composite cards, and it is described as compatible with roughly 95% of hotels. What it is not compatible with is IC contact-type power switches and dedicated-key encrypted power switches — two configurations a property should verify before assuming the standard product will fit.

What goes on the card face

The content that belongs on a hotel key card is surprisingly consistent across property types: hotel name, logo, phone number, address, property photos, motto and guest notices.

For artwork, the logo is best supplied as a source file — AI, CDR or PS, with text converted to outlines. Converted text removes any dependence on a font being installed on another machine, which is the single most common cause of a logo arriving slightly wrong. Property photos should be supplied for image printing, at the highest resolution the property holds.

Card-face material options are new-material gloss, frosted, matte, glitter and silver finishes. They are not purely decorative choices; each changes how the card behaves in daily handling.

Processes that add function or durability

Available card processes are inkjet numbering, embossed numbering, laser numbering, signature strip, magnetic stripe, dot-matrix barcode, UV barcode, UV coating, brushed silver and hot foil.

Numbering is the choice most properties underestimate. Inkjet numbering sits flat on the surface. Embossed numbering is raised, in the way a bank card number is raised, and is the option guests recognise immediately. Laser numbering produces a different visual character again. Whichever method is used, it is worth remembering that the printed number is a human-facing label — it does not automatically correspond to what the lock reads.

A signature strip adds a place for a name at check-in, which matters for properties that still use a manual handover for certain room categories. A magnetic stripe adds a second, older machine-readable layer, useful where a property runs a loyalty or membership programme on the same card. Dot-matrix and UV barcodes serve back-of-house scanning — spa bookings, pool access, breakfast entitlement — without a second card.

UV coating changes the surface feel and the way light behaves on the face. Brushed silver and hot foil are decorative processes, typically combined with a matte or dark base for contrast.

One honest note on process parameters: we do not publish machine settings, because print temperatures, pressures and similar figures depend on the material, the artwork and the equipment in use rather than being comparable constants between suppliers. What matters to a property is the outcome — how the face wears, what the number looks like after two years, whether a signature stays legible.

Designing the card: what to send and what comes back

Design is handled in-house. A designer produces the card artwork and revises it until the property is satisfied. A large library of existing templates is available, or the property’s current card can be recreated. This service is free.

The customisation flow is short and linear:

  1. Send the content.
  2. Choose a template — or ask for the current card to be recreated.
  3. The designer lays out the card and revises it.
  4. The property approves the visual proof.
  5. Factory production begins.

What goes out: hotel name, logo source file, phone number, address, property photos, motto and any guest notices, plus the issuing machine photos that make the order producible in the first place. What comes back: a layout, then revisions, then a proof to approve.

Approving the proof is the property’s decision point. Everything after that point follows the approved file.

Colour, quantity and the expectations to set before printing

Two tolerances cause more friction than any other part of this process, and both are better explained before printing than after delivery.

Colour. Screen display and print colour always differ, and a variation within about 15% is normal. In procurement terms, this means a brand colour approved on a backlit monitor will not match the printed card exactly, and a reprint will not be pixel-identical to the previous batch either. The practical responses are to approve from the visual proof rather than from a screen, and to order the full quantity a property needs from a single run wherever the budget allows. Splitting a single requirement across two runs is the most reliable way to end up with two slightly different card faces in circulation.

Quantity. Production carries a tolerance of roughly ±5%, and this is not treated as a quality defect. A run ordered to cover a specific door count can deliver slightly under or slightly over. For a property, that means the ordered figure is not a guaranteed exact count, and a small buffer is normal practice rather than an upsell. It also means that a shortfall discovered at the front desk is a planning issue, not a manufacturing fault.

Rollout at a property with several hundred doors

Large properties rarely need every card on day one. A phased rollout — for example, opening one wing or one tower first — lets the front desk test the whole chain: issuing machine, encryption, guest handover, power-switch behaviour in the room.

Three practical habits make a rollout calmer.

Keep spare stock. Cards get lost, bent, broken or left in a taxi. The published service life of the card is up to ten years, but that excludes face wear from heavy use, customer-applied encryption, and cards that are bent or broken. The chip carries a three-year warranty under normal use. Spares held on site are what keep a lost card from becoming a room-move.

Order spares from the same artwork run. A replacement card should be indistinguishable from the card in the guest’s hand. If the spare stock came from a different print run, the difference in colour will be visible at the door.

Match power-switch cards to key cards deliberately. Some properties print them identically so the pair feels like one set. Others deliberately differentiate them so a guest cannot insert the wrong card. Both approaches work; leaving it undecided is what produces confusion, and the two cards are not interchangeable in function.

Getting the order right the first time
